Privacy policy
This policy explains how CleanHQ handles personal data: when you contact us through cleanhq.se, and when you talk to a booking assistant we run for one of our client businesses. We collect as little as we can, we store it in Sweden, and we never sell it.
Who we are

CleanHQ builds websites and runs a booking service for small Swedish businesses. Part of that service is a booking assistant: a chat that answers questions about a business, captures contact details, and takes bookings.
Two situations, two roles
When you use the contact form on cleanhq.se, email us, or call us, CleanHQ decides how and why your data is handled. In GDPR terms, we are the controller.
When you chat with a booking assistant on a client business's website or messaging channels, that business decides why the data is collected: to answer you and to take your booking. The client business is the controller, and CleanHQ is the processor, handling the data on their instructions.
The rest of this policy covers both situations, and says which one it means where the difference matters.
What we collect
Website enquiries: your name, email address, and message. If we keep talking by email, we keep that correspondence too.
Assistant conversations: the messages you write, and the details you choose to give, typically a name, a phone number or email address, and what you want to book.
Booking records: what was booked, for when, and the contact details needed to confirm it.
We do not ask for sensitive personal data and do not want it. Please keep it out of the chat.
Why we process it, and the legal basis
Website enquiries: to answer you and manage the contact that follows. The legal basis is our legitimate interest in answering enquiries, and taking steps at your request before any agreement.
Assistant conversations and bookings: so the business you contacted can answer your question and complete your booking. We process this on that business's behalf; their legal basis is typically taking steps at your request, or their legitimate interest in answering.
Where the data lives
Chat transcripts and booking records are stored on our own servers in Sweden.
The cleanhq.se website itself is hosted in Germany and stores no personal data.
Stored in Sweden does not mean nothing ever leaves the server. To generate a reply, the assistant sends the conversation briefly to an AI provider (next section). The storage stays in Sweden.
The AI providers
Assistant replies are generated by language models from Anthropic, OpenAI, and Google (Gemini).
They process messages under EU data agreements, only to produce the reply. Messages are never used to train their models.
An assistant, not a person
Every assistant we run introduces itself as an assistant and never pretends to be a person. When a question needs a human, it says so and collects your details so the business can follow up.
This is our standard, and it is also required by EU rules on AI transparency.
Who else handles data
Anthropic, OpenAI, and Google (Gemini): generate assistant replies, as described above.
Migadu: email delivery. Confirmation and reply emails are sent from our own server through Migadu.
Slack and Telegram: internal notifications, so we (or the client business) see that an enquiry or booking has arrived.
Google Tag Manager: visitor analytics on cleanhq.se.
Meta (WhatsApp): message delivery, once a client business connects its own WhatsApp Business Account. This channel is not live yet; the entry applies from the day it is.
Each of these handles only what its task requires, under agreements that bind them to our instructions.
International transfers
Our own storage is in Sweden. Some providers named above are non-EU companies; where data reaches them, it does so under EU data agreements, including standard contractual clauses where required.
For the AI providers, the processing is transient: the conversation is sent to generate the reply, and is not kept by them for their own purposes or used for training.
How long we keep things
Chat transcripts: 30 days, then deleted.
Booking records on our side: 30 days.
Website contact-form enquiries: 30 days.
Email correspondence: up to 24 months, since it often documents what was agreed.
Where the law requires longer (bookkeeping records, for example), we keep only what the law requires, only for as long as it requires.
Cookies and analytics
cleanhq.se uses Google Tag Manager for basic visitor analytics.
We use no marketing or advertising cookies.
Your rights, and how to get your data deleted
You have the right to access, correct, or delete your data, and to object to or restrict how it is processed.
To have your data deleted, email info@cleanhq.se. We complete deletion requests within 30 days. The full process is described on our data deletion page.
If you talked to an assistant on a client business's site, you can contact that business or come straight to us. Either way it gets done, and we keep the business informed.
You can also lodge a complaint with the Swedish Authority for Privacy Protection (IMY).
